CHIEF OF STAFF – FAMILY OFFICE

Position Overview

The Chief of Staff will serve as the senior operational partner to a high-paced, high-net-worth family, ensuring seamless coordination across the family office, household operations, philanthropic initiatives, business engagements, travel, and special projects. This role serves as an integrator, strategic thought partner, problem-solver, and central point of coordination for all family-related activities. The Chief of Staff needs to be a team player who can be a personable leader who can lead, delegate, oversee, and coordinate staff to accomplish all aspects of household management for the family. The ideal candidate is discreet, highly organized, solutions-oriented, and comfortable navigating a fast-paced, dynamic environment with shifting priorities.

Key Responsibilities

Family Office & Administrative Management

  • Oversee daily operations of the family office and act as the primary liaison among accountants, attorneys, wealth advisors, investment teams, and external partners.
  • Support the development of protocols and systems for external team workflows and the management of contracts with external vendors.
  • Manage calendars, priorities, and flow of information for principal(s), ensuring decisions and next steps are clarified and executed.
  • Develop and maintain systems for record-keeping, financial tracking, and document management.
  • Support the coordination of board work, family foundations, and philanthropic or impact-investment activities.

Strategic & Operational Support

  • Partner closely with principal(s) to translate ideas into actionable plans, timelines, and milestones.
  • Lead cross-functional initiatives spanning personal, business, and philanthropic domains.
  • Identify gaps, anticipate needs, and proactively resolve issues before they escalate.
  • Develop and use technology, including AI and systems, to improve all aspects of operational and staff management
  • Conduct research, prepare briefing materials, drafts, and presentations as needed.

Household & Lifestyle Coordination

  • Work with team to manage all aspects of household management and personal family needs.
  • Oversee household staff, including day-to-day planning and coordination, delegation, and oversight of deliverables.
  • Oversee vendors, contractors, and service providers, ensuring smooth day-to-day operations of household and family needs across multiple residences.
  • Manage home maintenance schedules, renovations, household budgets, and vendor relations.
  • Support the planning and execution of private events, family gatherings, and social engagements.
  • Coordinate & manage personal logistics, including health appointments, children’s schedules, memberships, and seasonal needs.

Travel & Logistics

  • Plan and manage complex domestic and international travel, including detailed itineraries, logistics, and on-the-ground support when necessary.
  • Ensure all travel aligns with family preferences and safety/security protocols.
  • Work with team to coordinate packing lists, visas, reservations, transportation, and coordination with destination teams.

Compensation: $200,000 + Full Benefits
